01Who we are
KENSTOURS LLC (“Ken’s Tours Kyoto”, “we”, “us”) operates this website and the experiences booked through it.

02What we collect
We collect only what we need to arrange and run your experience.
You give us
- Your name, email address and phone or WhatsApp number
- Your preferred date, group size and the experience you are interested in
- Anything you choose to tell us in the message field — dietary needs, mobility needs, an occasion you are marking
- Files you attach to an enquiry
Collected automatically
- Pages you visited on this site and how you reached it
- Your browser, device type and approximate region, from your IP address
We do not ask for, and do not want, your payment card details. Payments are handled by the booking platform, which we describe in section 05.
03Why we use it
- To answer your enquiry and arrange the experience
- To tell you about a change — weather, a performer’s illness, a venue issue
- To meet a legal or accounting obligation, such as keeping records of a sale
- To understand which pages people read, so we can improve them
We do not use your data to build a profile of you, and we do not make automated decisions about you.
04Sensitive information
If you tell us about an allergy, a medical condition or a mobility need, we treat it as sensitive. We pass it only to the chef, guide or venue who needs it to keep you safe, we do not keep it after the experience, and we never use it for anything else.
05Who else sees it
We share the minimum needed, with the parties below.
- Venues, chefs, okiya and guides — your first name, group size and any need that affects the arrangement
- The booking and payment platform — it handles the transaction and holds your payment details. We never see your full card number
- Our email and file storage providers — they hold the correspondence
- A public authority — only where the law requires it
We do not sell your data, and we do not share it for anyone else’s marketing.
06Where it is held
Our email and storage providers operate servers outside Japan, so your data may be processed abroad. We use providers that commit to protections comparable to those required under Japanese law.
07How long we keep it
- Enquiries that do not lead to a booking — 12 months
- Booking records — 7 years, to meet accounting and tax requirements
- Sensitive information — deleted once the experience has taken place
- Website analytics — 14 months, and not linked to your name
08Your rights
You may ask us to show you the data we hold about you, correct it, delete it, or stop using it. Write to us through the form on this website and we will respond within 30 days. If we cannot do what you ask, we will tell you why.
If you are in the EU or the UK, you also have the right to receive your data in a portable form and to object to processing.
Complaints
If you are unhappy with how we have handled your data, tell us first through the form on this website and we will look into it.
If you are still not satisfied, you may complain to the Personal Information Protection Commission of Japan, the supervisory authority for personal data in Japan. Guests in the EU or the UK may instead complain to their own national data protection authority.
09Cookies
This site uses cookies to remember your choices and to count visits. You can refuse them in your browser settings; the site will still work.
Pages that embed a map load content from Google, which sets its own cookies. Google’s handling of that data is governed by its own privacy policy.
10Changes
If we change this policy we will update the date at the top of this page. If the change is significant, we will say so on the site.
